A variety of actions on the Percent Pledge platform trigger automated emails to admins and/or users, read on to learn which emails go where, and what action triggers them!
Account Creation
For companies with an HRIS integration or SSO, admins will receive updates on the connection and activity. If a company does not have the HRIS integration, they can add users through uploading a CSV file on the platform.
- When an admin is given permission to link the company HRIS connection, they will receive an email.
- A confirmation email is sent to the admin with HRIS permissions when Percent Pledge engineers run the first HRIS import.
- Users will receive a welcome email when their account is created, whether through HRIS, SSO, or CSV upload.
- When a user resets their password, or needs to set their initial password, they will receive an email to do so.
Bulk User Upload via CSV
Done when an admin would like to add new users to the platform via CSV upload, or deactivate existing users on the platform.
- Adding users - A confirmation email outlining the results of the upload is sent to the submitting admin once complete.
- Deactivating users - A confirmation email outlining the results of the upload is sent to the submitting admin once complete.
Bulk Volunteer Import
Done when an admin would like to add users to the participant list for a volunteer event.
- A confirmation email is sent to the submitting admin upon upload.
Cause Credits Awarded
When an admin awards Cause Credits to a user, the receiving user(s) will be notified.
- User is notified via email when Cause Credits have been awarded to them.
- When an admin creates a Cause Credit Campaign, that admin will receive a confirmation email upon submitting the details of the Campaign.
Tax Receipt Uploaded
- When a new tax receipt is uploaded all admins will be notified.
- Users will be emailed when a tax receipt has been made available.
Donation Made
For users who utilize the Giving Platform to make a donation.
- When a user initiates a monthly recurring donation they will receive a confirmation email.
- When a user makes a one-time donation they will receive a confirmation email.
- When a user maxes out their available match limit they will receive a confirmation email.
Donation Matching
If a company utilizes donation matching, users and admins alike will receive email updates regarding donations and corresponding matches.
- When an admin creates a new Matching Benefit Campaign they will receive a confirmation email.
- Admins with donation review permissions will get an email once a week if there are outstanding matches that need to be reviewed.
- When a match is approved or rejected, the user will receive a confirmation email.
- After an admin reviews a match through the platform, they will receive a confirmation email.
- When a user uploads an off portal donation, they will receive a confirmation email.
Quarterly Incentive Reminder
- Users receive a reminder email of any unused match or cause credits dollars they have available to them in mid-March, mid-June, mid-September, and mid-December.
- If they have used their incentives or there are none available, no email is sent.
Volunteer Event Management
The Volunteering Platform allows admins to manage volunteer events for users to participate in and will send a variety of reminders and confirmation emails.
- When an admin creates an event they will receive a confirmation email. If the admin has assigned a different person as the event organizer, that person will receive a confirmation email.
- When creating an event, if the admin selects the option to notify all users about the event, all users will receive an email.
- When a user signs up for a volunteer event they receive a confirmation email.
- When a user registers for a VolunteerMatch event, they will receive a confirmation email.
- When an admin updates certain details within a volunteer event, users who have signed up for the event will receive an email notifying them that changes have been made.
- All users that have signed up for an event will receive an event feedback survey when the event end time has been reached.
- If two or more feedback surveys are submitted by event participants, admins will receive an email including this feedback.
- Emails summarizing the number of event registrants are sent to the admin/event organizer two weeks, 7 days, and 3 days prior to the event and day of.
- Reminder emails are sent to all registered users 5 days prior to the event and one day day before the event.
- Five minutes after an event ends, an email is sent to the admin/event organizer with the final number of event registrants.
Goal Setting
Admins can set a goal on the platform to help boost engagement and make progress with their social impact efforts.
- When an admin creates a goal, they will receive a confirmation email.
Grow Your Impact
Admins can enable Grow Your Impact, a tree planting initiative, to help drive volunteerism. Grow Your Impact can be set live and run indefinitely, or can run for a limited time as determined by the admin.
- When an admin activates the Grow Your Impact feature, they will receive a confirmation email.
- All company users will receive an email outlining what Grow Your Impact is the day the campaign/feature goes live.
- When a user logs volunteer hours, participates in a Community Volunteer Event or a company hosted volunteer event, they will receive an email letting them know a tree is being planted.
- All company users are sent a quarterly reminder to track their hours and take advantage of the Grow Your Impact feature.
- If Grow Your Impact was enabled for a limited amount of time, users will receive a reminder email the last week of the campaign.
- Once the Grow Your Impact campaign ends, an email will go out to all users letting them know it has ended.
Campaign Activity
Admins can create Volunteering or Giving Campaigns on the platform to help drive engagement.
- When an admin creates a campaign, they will receive a confirmation email.
- When a user logs hours for a Volunteering Campaign, they will receive a confirmation email.
Passion Assessment
A Passion Assessment is a survey to help gauge the cause areas employees are passionate about.
- Admins will get a reminder email three days in advance letting them know the Passion Assessment is launching soon.
- An email will go out to admins the day the Passion Assessment launches letting them know it's active.
- An email will go out to admins every Monday the Passion Assessment is active for updating them on the progress.
- A reminder email will go out to admins three days before the Passion Assessment ends.
- A final email will go out to admins when the Passion Assessment officially ends.
- A confirmation email will be sent to a user when they complete the Passion Assessment.
Payment Management
For users on the Giving Platform making donations through credit card payment.
- If a user's credit card cannot be charged, they will receive an email that the donation/payment failed.
- When a user updates their payment method (the credit card on file on Percent Pledge) they will receive a confirmation email.
Charity Request
If a user cannot find a charity on the Percent Pledge database, they can submit a Charity Request form.
- When a user submits a charity request they will receive a confirmation email.
