Migrating Your Data to Percent Pledge
To ensure a seamless transition from your legacy workplace giving platform (e.g., Benevity) to Percent Pledge, we can migrate your employees' historical giving and volunteer data, as well as transfer existing match and cause credit balances.
Switching platforms shouldn’t mean starting over. When you move to Percent Pledge, we bring over your historical giving, volunteer hours, and matching data, so on launch day your employees sign in and see everything just as they left it.
This guide walks you through the whole process, from pulling your first export to launch day.
What you’ll need
- Access to data exports from your current platform
- Our three CSV templates: donation history, donation credits, and volunteering
How it works
- Confirm your data fields. Use our field guide and templates to see exactly what we need.
- Run a dry run. Pull a small sample (a week or a month of rows) covering every field, load it into our templates, and send it to us.
- We confirm your format. If anything needs fixing, we’ll work through it with you before anything is time-sensitive.
- Send your full history. At the start of your one-week blackout, send us your complete data.
- We import, you preview. Your admins review the loaded data before employees see it.
- Launch. The blackout ends and your employees see their full history.
Why a one-week blackout?
Pausing activity on your current platform for one week keeps your data clean:
- Nothing missed and nothing duplicated
- No employee ends up with a matching budget higher than what they earned
- A consistent experience for every employee on launch day
We recommend letting employees know ahead of time to give before or after the blackout, not during it.
What you’ll get from us
- Three ready-to-use CSV templates with sample rows
- A detailed field guide covering every column and format
- A dry-run review before your blackout begins
- Support from your Percent Pledge contact at every step
Good to know
- Amounts must be in USD, converted at a fixed exchange rate.
- Every employee email in your files must already exist in Percent Pledge, which your contact sets up through your HRIS integration.
- Files missing required data or in the wrong format will be sent back for fixes. The dry run is designed to catch this early.
- Missing your agreed dates can push back your launch date.
